Ask for the details that help the visit
Capture the service address, callback number, requested service, and customer-provided access information. Record whether the customer is requesting routine pumping, an inspection, or help with a problem. Unknown system details should remain unknown rather than being filled in by the receptionist.

Follow up on inspection and replacement decisions
A larger estimate may depend on site assessment, a written scope, engineering, approvals, or the customer’s timing. Assign each outstanding question to the correct person. Keep estimates that need technical review out of a generic reminder sequence until the answer is available.
Build repeat service around confirmed information
Where the business offers recurring service reminders, use the customer’s actual service history and the interval approved by the business. Do not invent a universal maintenance interval. Track completed service, requested future contact, and opt-outs so a reminder remains relevant to the customer.
